DATA PROTECTION POLICY (GDPR)

The Principal of Samantha Jones Dance Academy, Samantha Phillimore FABD, is responsible for ensuring that this data protection policy is implemented.

Samantha Jones Dance Academy collects and uses certain personal information to enable us to conduct our business and operate as a dance education and training organisation. This personal information includes contact details of parent/guardian, payment history and student’s, name, date of birth, and allergies/medical conditions. The information we hold is used for the day-to-day administration including invoicing for fees, uniform/costumes, and activities such as dance experiences. Also, providing information to students / parents / guardians, and entering students into Associated Board of Dance (ABD) examinations, competitions and scholarships.

Samantha Jones Dance Academy is committed to meet this data protection policy objectives by ensuring everyone who has access to personal data is fully aware of and understands the eight general principles of data protection.

The principles to ensure personal rights are:

The right to be informed – what data we are collecting and what we are using it for.
The right of access – you can ask to see the data we have collected.
The right to rectification – if data is inaccurate, you have the right to have this data corrected.
The right to erasure – you have the right to have your data deleted. This could be because you withdraw consent, or the data isn’t needed for the reason it was collected.
The right to restrict processing – not the same as erasing the data but stops us processing your data in ways it was not collected for.
The right to data portability – records of examinations your child has taken with us can be shared with any new school should your child transfer.
The right to object – you have the right to object to any marketing information we send.
The right not to be subject to automated decision-making including profiling – Samantha Jones Dance Academy does not use automated decision-making/profiling.

The need to ensure that data is kept securely means that precautions are taken against loss or damage and that both access and disclosure is restricted. All personal data which is held is kept securely, accurate and up to date. Samantha Jones Dance Academy will not disclose your information to third parties outside the school except where the law allows or requires, or where you have given your permission to do so. We may from time to time contact you about other carefully selected school activities which we think will be of interest to you.

It is the duty of the principle to ensure that personal information is used properly, is not excessive and is not kept for longer than necessary. All individuals who have personal information held by Samantha Jones Dance Academy are entitled to:

ask what information we hold and why.
ask for a copy of this information
and be informed how to keep this information up to date.

Samantha Jones Dance Academy use DanceBiz Account Management Software and QuickBooks Accounting System Software.

When a new student is enrolled the parent/guardian will receive an electronic copy of the Student Enrolment and Consent Form, automatically emailed at time of submittal from CognitoForms. This discloses the personal information we are storing and using to conduct our business. Should it be necessary, this information can be edited to correct it if needed. Disclosure requests or complaints should be made in writing to Samantha Phillimore.
